Personal Assistant / Operations Co-ordinator

Hours: Part-Time, Job-Share and Full-Time

Location: Swindon (with hybrid working)

Salary: £25,000 - £31,000 Dependent on Experience

The opportunity:

Are you an experienced Personal Assistant looking for a new role? This is an exciting opportunity to support the Head of Operations and the wider team within Retail Protection Operations.

This role is available part-time, job-share or full time. This is because we want the best people for our roles, and we recognise that sometimes those people aren’t available full-time. Please talk to us at interview about the flexibility you may need.

What will you be doing?

As Operations Co-ordinator, you will:

  • Perform confidential administrative work

  • Support in producing presentations in advance of internal/external meetings

  • Organise and prioritise own assignments to ensure timely and accurate completion of work

  • Prepare reports and support various HR and recruitment processes

  • Compose routine and non-routine correspondence from instructions

  • Control, coordinate, and maintain schedules and coordinate meetings, appointments, events, and other activities

  • Prepare expense reports and handle payments for expense items

  • Provide appropriate data and analysis for monthly financial reporting to support financial decision making

  • Identify and comply with the main principles relevant to legal and regulatory controls that govern standard work practices

  • Monitor business processes to identify opportunities for improvement

  • Take minutes at meetings

  • Provide support to wider operations team as appropriate

  • Work coherently with the Executive Assistant community to ensure best practice is carried out

Who are we looking for?

Ideally, you will have:

  • Administrative experience including, complex diary management, organising travel and events management

  • Experience as a Personal Assistant or in supporting the operations of a team

  • Advanced knowledge of PowerPoint, Microsoft Word, Microsoft Excel, and Outlook

  • Ability to work with minimal supervision and problem solve

  • High levels of accuracy and strong attention to detail

  • Strong network of support (or ability to quickly build one) and able to find ways to get things done

  • Effective communication and relationship management

  • Appreciation of importance of maintaining confidentiality
