Executive Assistant I
Zurich is currently hiring an Executive Assistant! As an Executive Assistant, you will be providingpersonal assistance and support to five executive leaders within the Technical Underwriting service unit. In this role, you will spend your time providing administrative support to your leaders as well as supporting the TUW service unit through projects and cross-functional responsibilities.
Executive Assistant is responsible for a variety of tasks:
Under general supervision, performs moderate and confidential administrative work for Senior Management including presentations.
Proficient with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials as this role includes project-based work.
Organizes and prioritizes own assignments to ensure timely and accurate completion of work.
For select high profile meetings, creates agenda, documents attendance, and completes official minutes for distribution, including takeaways and owners.
Greets and directs internal and external visitors to the appropriate person(s). Handles internal customer and employee inquiries.
Create organizational charts and distribution lists
Composes routine and non-routine correspondences from brief notes, oral or written instructions. Receives incoming mails and forwards to appropriate personnel to handle.
Controls, coordinates, and maintains Senior Management including proactive respond to meeting invitations, scheduling and coordinating meetings, appointments, and other activities. Does follow-up work as needed.
Assists with procurement of necessary office supplies and equipment, coordinates travel logistics using the Egencia procurement tool.
Proactively prepares expense reports and handles payments for expense items.
Bachelor’s Degree and No prior experience required in the Administrative areaOR
Associate Degree and No prior experience required in the Administrative areaOR
High School Diploma or Equivalent and 3 or more years of experience in the Administrative areaAND
Microsoft Office 365 experience
Experience planning, organizing and scheduling work
Can work independently
Knowledge of company operations, and organizational procedures
Administrative experience in a multi-tasked, high-paced, confidential environment
Ability to prioritize
Ability to multi-task
Strong verbal and written communication skills
