Executive Assistant I - Corporate Law


Zurich is currently seeking an energetic, creative, and self-motivated individual to fill an Executive Assistant role for its Corporate Law department based out of our North American Headquarters in Schaumburg, IL.

She/he will perform, coordinate and oversee office administrative duties while providing an extensive level of support to Executives making the best use of their time. This individual will be relied on heavily to ensure that work is handled efficiently and without the need for constant or direct supervision. The Executive Assistant will:

  • Provide administrative support to senior management, executives and other stakeholders

  • Be responsible for six core competencies which are specific behaviors and skills relevant to administrative support while under general supervision, including

o Organization – Effective time management and the ability to balance

conflicting priorities in order to manage workflow, ensure the completion

of essential projects, and meet critical deadlines

o Communication – Ability to speak with confidence using clear, concise

sentences and is easily understood and understanding that the most

important aspect of communication is the act of listening; clearly

conveying and receiving messages to meet the needs of all; This

involves listening, interpreting, and delivering verbal, non-verbal, written

and electronic messages

o Service Delivery – Promptly responding to requests with accuracy and a

courteous demeanor; Demonstrating the ability to foresee problems and

prevent them from occurring by taking action; Ability to utilize analytical

skills and a broad understanding of business concepts to effectively

interpret stakeholder needs

o Technical – Skillfully adept to accurately and thoroughly utilize office

technology and to demonstrate practical knowledge of information

management, e-mail management and privacy protection issues;

Possessing a knack to quickly adapt to new technology and easily acquire

new technical skills

o Adaptability – Personal willingness and ability to work in, and adapt to

change with a positive demeanor; Exhibits sound judgment with the

aptitude to make reasonable decisions in the absence of explicit direction

o Interpersonal –Works as a competent member of the team, willingly

providing back-up support for co-workers cooperatively and productively

when appropriate while actively supporting departmental goals

  • Make decisions regarding planning, organizing, and scheduling work within established guidelines

  • Provide a wide variety of administrative support services including:

o Prioritizing tasks in a fast-paced, changing environment through frequent

interruptions and changing deadlines

o Carefully prepares for meetings, travel, catering and conferences for


o Carefully reviews and checks for accuracy of information in work reports

provided by management, information systems or other individuals

o Identifies what needs to be done and takes action before being asked or

required to

o Clearly and concisely, composes/proofreads/edits documents such as

letters, memos, presentations and e-mail

o Relay/redirect complete and accurate messages to appropriate


o Collaborate with team members by listening and sharing ideas to achieve

common goals

o Keeps manager/attorneys informed about progress and problems; avoids


o Strong sense of urgency about solving problems and getting work done

o Asks clear questions in order to obtain information necessary to perform

job responsibilities

o Applies due diligence and sound judgment when responding to requests

and dealing with confidential information

o Ability to use MS Office software to create, format and edit reports and

presentations for professional output

o Accepts change even when there is ambiguity

High Level Client Internally Focused - The job's core deliverables rely on delivering service to internal clients, usually at the executive or Sr. Management level. Includes using subject matter expertise to address advanced, high-level questions and issues.

Basic Qualifications:

  • Bachelor’s Degree and No prior experience required in the Administrative areaOR

  • Associate Degree and No prior experience required in the Administrative areaOR

  • High School Diploma or Equivalent and 3 or more years of experience in the Administrative areaAND

  • Microsoft Office experience

  • Experience planning, organizing and scheduling work

Preferred Qualifications:

  • Associate’s Degree and/or Bachelor’s Degree strongly preferred

  • Project Management/analytical thinking and creative problem solving experience

  • Knowledge of technical and business vocabulary with a detailed knowledge of company operations, organizational procedures, and personnel

  • Intermediate to Advanced knowledge of Microsoft Office software

  • Ability to employ basic reasoning skills

  • Professional administrative experience in a multi-tasked, high-paced, confidential environment
