Zurich is currently looking for an Executive Assistant I for our Commercial Insurance Division in our Chicago Office. (This position may also be located at our office in New York, NY or at our North American HQ in Schaumburg, IL.)

As a member of Zurich's Commercial Insurance Team you will enjoy the opportunity to fully apply and hone your administrative and communication skills. Specifically, you will be providing personal assistance and support/driving strategic analysis for members of Senior Management of medium / small size countries in order to support the day-to-day activities of their Senior Management members and contribute to the realization of the strategic objectives in the designated area.

High Level Client Internally Focused - The job's core deliverables rely on delivering service to internal clients, usually at the executive or C-Level Sr. Management. Includes using subject matter expertise to address advanced, high-level questions and issues.

Our Executive Assistant is responsible for:

  • Under general supervision, performs moderate and confidential administrative for C-Level Senior Management.

  • Organizes and prioritizes own assignments to ensure timely and accurate completion of work.

  • Greets and directs internal and external customers to the appropriate person(s). Handles internal customer and employee inquiries. May refer more complex inquiries and/or complaints to appropriate personnel.

  • Answer and screen phone calls and responds to simple e-mails for C-Level Senior Management.

  • Composes routine and non-routine correspondences from brief notes, oral or written instructions. Receives incoming mail and forwards to appropriate personnel to handle.

  • Controls, coordinates, and maintains Senior Management; schedules and coordinates meetings, appointments and other activities.

  • Maintains supplies, coordinate travel logistics using the ARIBA procurement tool.

  • Prepares expense reports and handles payments for expense items.

  • Mandatory Overtime, as required

Basic Qualifications:

  • Bachelors Degree and No prior experience required in the Administrative area

OR

  • Associate Degree and No prior experience required in the Administrative area

OR

  • High School Diploma or Equivalent and 3 or more years of experience in the Administrative area

AND

  • Microsoft Office experience

  • Experience planning, organizing and scheduling work

Preferred Qualifications:

  • Highly organized and detail oriented

  • Proficiency with MS Power BI

  • Knowledge of company operations, and organizational procedures

  • Administrative experience in a multi-tasked, high-paced, confidential environment

  • Ability to prioritize

  • Ability to multi-task

  • Strong verbal and written communication skills
